My Insurance Certificate Was Rejected in Avetta®. What Do I Do?

Seeing a “Non-Compliant” notice in your Avetta® portal after uploading your insurance certificate? You’re not alone, and yes, it’s frustrating.

The Problem

Avetta® uses automated systems to screen Certificates of Insurance (COIs), and rejections are extremely common. The system flags even minor issues like typos, missing endorsements, or mismatched policy numbers. 

Each rejection puts your compliance and potential job opportunities on hold. Until it’s fixed, you can’t move forward with clients, which means lost time and lost opportunities.

Most contractors get tripped up by:

  • Company name mismatch
  • Missing “Additional Insured” or “Waiver of Subrogation” endorsements
  • Incorrect effective/expiration dates
  • Policy limits that don’t meet client-specific requirements

Even if you have the right coverage, if the format or wording is off, Avetta® will reject it.

How to Fix It

You’ll need to work with your insurance broker, not just re-upload the same file. Avetta® requires that your COI:

  • Matches your company’s name and address exactly as listed in your profile
  • Includes all required endorsements, listed clearly and correctly
  • Meets or exceeds every insurance requirement configured by your client(s)

Double-check your client's exact insurance requirements in the Avetta® portal. You can find them listed by client name, along with any required policy types, minimum limits, and special endorsements.

If you’re still stuck, Avetta® allows you to request a variance, but only the client can approve it.

Q: What's the difference between a COI and an endorsement?
A: A COI is a summary document of your insurance coverage. An endorsement is a legal amendment to your policy that adds or changes coverage, like listing your client as “Additional Insured.” Avetta will often reject COIs if required endorsements aren’t attached, even if your COI looks correct.

Q: Why did Avetta® reject my certificate for a typo?
A: Avetta® uses OCR (Optical Character Recognition) to scan COIs. It expects exact text matches. Even one wrong digit in your address or a misnamed policy can trigger a rejection.

Q: How do I find my client's specific requirements?
A: Inside your Avetta® portal, navigate to the client’s section. You'll find insurance guidelines, required coverages, and any endorsement wording they expect.

Q: What if I don’t meet one of the requirements?
A: You can request a variance through the system. The hiring client must approve it, and in some cases, they may not allow variances at all.
